AI Automation Suitability Checker for Small Business
A workflow that could save money may still be unsuitable for automation. Answer six practical screening questions before running the Business AI ROI Calculator. The checker is local and does not inspect or upload business records.
Which tasks are most suitable for a first AI pilot?
Start with a low-impact, reversible task that uses public or synthetic information, follows a source a human can verify and does not automatically communicate commitments or alter real records. Example: drafting a first version of an internal agenda from non-sensitive notes. By contrast, sending customer refund approvals without a reviewer is a very different workflow. High-consequence financial, clinical, safety, legal or employment decisions require dedicated controls and qualified decision-makers; this educational form deliberately declines to approve them.
Even when the screening result recommends a small pilot, only an appropriately authorized reviewer can decide whether to proceed. Read our small-business AI automation checklist for a worked comparison of routine drafts, customer communication and confidential records. See the voluntary NIST AI Risk Management Framework for an official governance reference. The checklist cannot replace an actual risk assessment.
Run financial calculations only after workflow suitability
The AI ROI calculator estimates recurring labor-time value and costs; it cannot decide that data are legally usable, that an AI vendor has security approval or that employees will verify the results. A task may appear to save hundreds of dollars while being inappropriate for automated use. Similarly, a hypothetical “pilot” recommendation here does not mean it will save a cent. Keep these decisions separate. For specific customer-facing drafts, see our customer-service response workflow; for meeting recordings, see meeting notes and SOPs, including consent and review limitations.
