Freelance AI Project Quote Calculator
AI might shorten drafting, but review, corrections and client communication still cost time. Estimate your own project cost and target price without assuming a tool makes professional quality free.
Worked example and the margin-versus-markup trap
Suppose a fictional freelance report takes 8 production hours plus 2 quality-review hours, with an internally budgeted rate of $40 per hour. Add $60 of project expenses and $20 of allocated software cost. Base cost is $480. A 10% contingency gives $48, so modeled total cost becomes $528. For a target gross margin on selling price of 20%, the proposed quote is $528 ÷ (1 − 0.20) = $660. Adding just 20% to the cost would produce $633.60, which is a markup and results in a margin below 20%. Our modeled $660 quote is equivalent to a 25% markup on cost, even though the gross margin on selling price is 20%. These figures are arithmetic examples, not market prices.
Use our AI workflows for freelancers guide to define delivery scope and human verification before quoting. If you want to check whether AI software itself is financially worthwhile for repeated work, the Business AI ROI Calculator handles that separate decision. Do not double-charge software costs across project quotes unless the allocation is justified and transparently agreed.
What is not covered?
The estimate does not include taxes, payment processing, contract law, IP licensing, scope changes after approval, bad debt or regulated professional advice. For client data, assess permissions, confidentiality, security and human checks first. The NIST AI Risk Management Framework offers voluntary risk-assessment principles, but this calculator cannot certify compliance with them.
