Product Return Rate and Refund Outflow Reviewer
Check whether you are mixing physical product returns with refunds, cancellations or order edits. This simple worksheet uses your own figures; no customer list, order number or uploaded invoice is needed.
How to interpret a small ecommerce shop's results
If a product cohort contains 800 units sold and 36 physically returned units, the physical-unit return rate is 36 ÷ 800 × 100 = 4.5%. Suppose the business actually paid $900 in refunds, $126 in return shipping and $90 in direct handling. The observed total of those selected cost categories is $1,116, which is about $1.40 per unit sold when rounded to cents. It is not correct to divide $900 by 36 and call that the value of every returned product: the money may relate to different dates, partial refunds, shipping goodwill or orders without physical returns.
Shopify's official sales report definitions distinguish returned quantity from reversed quantity, which can include order cancellations and edits. Its analytics discrepancy guidance also explains why returns and payment refunds may differ across reports. Export the appropriate physical-returns figures, payment-refund transactions and business cost records separately; do not ask AI to fill gaps with guesses.
For a practical process, read our step-by-step return and refund reconciliation guide. It includes a small fictional audit table, a checklist for AI summaries, and rules for investigating unusually high return reasons without uploading customer information to an unapproved service. If you are instead estimating procurement needs after genuine returned stock is inspected, see the Inventory Reorder Point Planner. Returned stock is not automatically sellable inventory.
