Inventory worksheet for small businesses

Inventory Reorder Point Planner

Calculate the stock level that should prompt a fresh buying review. The worksheet never connects to your POS, contacts a supplier or issues a purchase order. Every figure is entered and verified by you.

Your SKU's figures

The starting data describe a fictional product: six units sold daily, twelve days of lead time and twenty extra buffer units. Replace them with one actual SKU's own units; do not mix packs with individual pieces.

Use a checked sales period; exclude cancelled and returned transactions.
Include processing and transit; use a realistic supplier promise.
A deliberate buffer, not a number suggested by AI.
Count the actual sellable items in your current records.
Do not promise reserved stock to a second customer.
Only include orders you personally verified; check expected arrival dates separately.

Understand the threshold before buying anything

Reorder point = expected daily unit demand × supplier lead-time days + your chosen safety stock, rounded up to whole units. A fictional product selling six units per day with a 12-day lead and a 20-unit buffer has a threshold of 92 units. If 85 units are physically on hand, 18 are already reserved, and 40 confirmed units are incoming, the simplified inventory position is 85 − 18 + 40 = 107. That is above 92, but the promised incoming delivery still needs a real date check. Remove the 40 if it is not confirmed: the position falls to 67 and crosses the review threshold.

Crossing a threshold means review a replenishment decision; it does not mean “buy 25 units” or “place the supplier's minimum order automatically.” Quantity depends on cash, shelf space, order minimums, expected sales, expiring stock and shipping costs. Compare the written offers with our Supplier Quote Comparison Checker before choosing a supplier.

For the full verification process, see the AI and business spreadsheets guide and the AI Claim Verification Tracker. AI can draft a stock report, but it should not invent a delivery promise or ignore cancelled sales. All arithmetic on this page runs in your browser, without sending the input data to a server.
